Brand Guidelines

Brand guidelines are not an 80-page graphic rulebook. They're the tool that lets a new employee write an on-brand email on their first day, without having to ask anyone.

Of your 80 pages of brand guidelines, how many contain an example of how to respond to an angry customer? If the answer is zero, the document serves design, not the business.

Why length kills adoption

The most effective brand guidelines aren't the most complete, they're the most used. An 80-page document with detailed rules for every possible graphic application gets opened once and never consulted again; a concise guide with 10-15 concrete examples of real communication (email, objection response, error message) actually gets applied in daily work.

Extending guidelines beyond visual identity, including commercial and customer-facing language, makes them an operational tool for the whole company, not just the design team.

Anti-patterns

Common mistake: producing an extremely detailed brand guidelines document on the visual side but lacking practical guidance on the commercial language used daily by sales and support.

Second mistake: creating the guidelines once and never updating them, leaving new channels or use cases (chatbot, error messages, automated notifications) uncovered and handled with no reference to the brand at all.

Practical Application

A company replaces a 74-page brand guidelines document, consulted an average of 2 times a year per employee according to shared drive logs, with a 12-page guide focused on practical commercial communication examples. The new document gets consulted an average of 14 times a year per employee, and tone consistency in customer-facing communications, measured by an internal audit, rises from 52% to 79%.
